How Gralvis turns incoming email into a reply in your voice

1. Connect the mailbox you already use

Connect Gmail or Microsoft 365 through their authorization screens, or use an app password for supported IMAP mailboxes. Gralvis receives only the permissions needed to read relevant mail, learn from sent messages, and send replies you approve or authorize.

You can disconnect a mailbox at any time. Authentication tokens are encrypted at rest, and a newly connected mailbox cannot send autonomous replies by default.

2. Teach Gralvis how you communicate

Voice training studies the sent messages you choose to connect. It looks for practical patterns such as typical length, greeting style, directness, phrasing, and sign-off. Gralvis can keep separate voice patterns for different relationships, because a reply to a client should not sound identical to a note to a close colleague.

Business Brain adds the facts that writing style alone cannot supply: what you sell, prices, policies, boundaries, and anything the assistant must never claim.

3. Build a grounded draft

When a new message needs a response, Gralvis evaluates the thread, sender, category, risk, business context, and the matching voice profile. It produces a draft rather than guessing from the last sentence alone.

A second AI review is available on higher plans. That review looks for unsupported claims, mismatched tone, risky content, and instructions hidden inside untrusted email text before the reply reaches an automatic-send decision.

4. Review first, then automate carefully

Every inbox begins with automation off. You can edit, approve, dismiss, or send a draft from the reply queue. If you later enable selective or full automation, hard safety checks still run before each send.

• Low-confidence or high-risk messages are held for review.
• Quiet hours and per-contact limits reduce accidental over-messaging.
• Timed sends provide an undo window before delivery.
• Category and sender rules let routine mail behave differently from sensitive conversations.

5. Improve from real corrections

Edits are useful feedback. Gralvis records how much the final reply changed from the original draft and can use those corrections during voice retraining. The goal is not merely to generate more text; it is to reduce the amount of rewriting needed while preserving your judgment.
